This Privacy Policy describes how TDF Media LLC (“we”, “us”) handles information in connection with the Barn Talk Dashboard (the “Dashboard”), an internal analytics tool available at dashboard.thebarntalk.com.
1. What the Dashboard is
The Dashboard is a private, invitation-only tool used by the Barn Talk team to review the performance of our own media. It is not a consumer product, it is not open for public sign-up, and it does not offer accounts to the general public. Access is limited to a manually maintained list of authorized team-member email addresses.
2. Information we collect
2.1 Authorized user information
For each authorized team member we store an email address and a role (administrator or member). We use a passwordless sign-in link, so we do not collect or store passwords. Our authentication provider records standard session information such as sign-in timestamps.
2.2 Information from connected platforms
The Dashboard connects to third-party platforms where we publish our own content, and retrieves performance data about our own accounts and posts. Depending on the platform, this includes items such as post and video identifiers, captions and titles, thumbnails, publish dates, and aggregate performance counts such as views, reach, likes, comments, shares, saves, and follower totals.
The connected platforms are:
- TikTok (via a third-party scraper of our own public profile)
- Instagram (via the Meta Graph API)
- YouTube (via the YouTube Data API)
- X
- Beehiiv (newsletter)
- Megaphone (podcast hosting)
- Google Sheets (internal planning spreadsheets we maintain)
2.3 Public audience interactions
Where a platform makes them available, we retrieve public comments left on our own posts so that our team can review and respond to audience feedback. We do not collect private messages, contact details, or profile information about the people who leave those comments beyond what the platform returns as part of a public comment.
3. TikTok data specifically
We do not use TikTok Login and we hold no TikTok account credentials. TikTok did not approve our application for production use, so we have no durable first-party way to read statistics about our own posts.
Instead we use a third-party service (Apify) to read the public Barn Talk profile page, in the same way any visitor to that page could. What we retain is limited to our own videos: the video identifier and link, the caption, the thumbnail, the publish date, the duration, and the public view, like, comment, share, and save counts, together with the account’s public follower and total-like figures.
We read only the Barn Talk account. We do not access other users’ TikTok accounts, we do not collect information about the people who view or interact with our videos, we do not post or modify content, and we do not use TikTok data for advertising, profiling, or sale. Because TikTok publishes lifetime totals rather than a history, we store a daily snapshot of those counts so we can chart change over time.
4. How we use information
We use the information described above solely to display performance reporting to our own team, to plan and evaluate our content, and to prepare reach summaries for sponsors. Sponsor summaries contain aggregate performance figures only. We do not sell data, we do not share it with advertising networks, and we do not use it to build profiles of individuals.
5. Where data is stored
Data is stored in a hosted PostgreSQL database operated by Supabase, and the application is hosted on Vercel. Both act as our service providers and process data on our instructions. Access to the underlying database is restricted to administrators of TDF Media LLC.
Certain natural-language questions asked inside the Dashboard’s assistant feature are sent to Anthropic’s API to generate an answer. Only the question and the specific performance figures needed to answer it are transmitted.
6. Retention
Performance snapshots are retained for as long as they remain useful for historical reporting. Platform access tokens are retained only while a connection is active and are deleted when the connection is revoked or replaced. Authorized-user records are deleted when a team member is removed from the access list.
7. Your choices
If you are a Barn Talk team member, you may request removal of your Dashboard access and associated user record at any time. If you have commented publicly on our content and would like that comment removed from our internal reporting copy, contact us at the address below and we will delete it.
8. Children
The Dashboard is an internal business tool and is not directed to children. We do not knowingly collect personal information from children.
9. Changes
We may update this policy from time to time. Material changes will be reflected in the “Last updated” date at the top of this page.
